Timetable for HIT Maintenance and Security tasks:

Backing up files
- Institute a regular back up schedule storing data either virtually or on a portable device no less than several times per week
Monitoring system access
- Create unique log-in credentials for each user as it occurs
- Terminate access of former employees as it occurs
- Review regularly who has access to what systems and what patient health records could be exposed
- Resetting passwords - every 90 days
Perform disaster recovery checks
- Keep an eye on network connectivity to ensure that the practice stays on line, monitor for software or operating system upgrades and check database storage space every 90 days
Accessing users concerns
- Perform regular check-ins with staff
- Monthly lunch and learns to brainstorm and share user experiences
- Assessment should happen frequently right after implementation and continue on an on-going basis
Analyzing financial and clinical performance measures
- Measure how the system affects finances and clinical performances by comparing pre-implementation numbers with post-implementation measures as needed. Queries can be run using demographics, diagnostic codes, labs, meds, vitals or a combination of these.
Monitoring the changing health IT landscape
- Keeping an eye on emerging technologies to determine the ones you and your staff might try to incorporate into your daily routine on an ongoing basis
